Last updated: October 27, 2026
This Privacy Policy explains how Plan & Organize Studio ("POS", "we", "us" or "our") collects, uses, discloses, keeps and protects personal information when you visit planorganizestudio.com, make a purchase, join our email list, or contact us.
1. Who is responsible for your information
Plan & Organize Studio is a sole proprietorship based in Quebec, Canada.
The person with the highest authority at Plan & Organize Studio is the person responsible for the protection of personal information, called the Privacy Officer in this policy.

2. What we collect
Depending on how you interact with us, we may collect:
- contact details, such as your name and email address;
- order details, such as what you bought, when, the price and currency, your billing address and the payment status. Card details are handled by the payment processor, and we never store full card numbers;
- messages, and anything you choose to send us with them, such as screenshots, files or a product review; and
- email and site activity: your subscription and consent records, email opens and link clicks and, where cookies are enabled, your IP address, device and browser type, pages viewed, referring page, approximate location and cookie identifiers.
What you enter into your own copy of a Google Sheets template stays in your Google account. Plan & Organize Studio has no access to it, and the templates do not send their contents to us. Google processes the file under Google's own terms and privacy policy.
3. How information is collected
We collect information:
- directly from you when you place an order, subscribe, complete a form, leave a review or contact us;
- from the services used to operate the store, deliver purchases, process payments, manage email, collect reviews, provide support and measure site activity; and
- automatically through cookies and similar technologies, where enabled.
4. Why we use it
We may use personal information to:
- process, deliver and administer purchases;
- provide customer support and respond to messages or reviews;
- send service and transaction communications;
- send marketing communications when permitted, and record consent or unsubscribe requests;
- if you are subscribed to our emails and leave a checkout unfinished, send you up to two reminder emails about it;
- display product reviews;
- understand product interest, email engagement and site use;
- maintain security, prevent fraud and troubleshoot technical issues;
- keep tax, accounting, transaction, consent and compliance records; and
- establish, exercise or defend legal rights and comply with legal obligations.
For people in the European Economic Area or United Kingdom, the legal basis depends on the activity. We rely on performance of a contract for order fulfilment and purchase-related support, consent for marketing and non-essential cookies, compliance with legal obligations for required records, and legitimate interests for security, fraud prevention and ordinary business administration where those interests are not overridden by your rights.
5. Profiling, tags and automated decisions
Shopify and Omnisend may use purchase history, browsing or email engagement, and subscription activity to place people into groups, such as customers who purchased a particular template or subscribers who engaged with a campaign. We use those groups to organize communications and understand what content is relevant.
Where consent is required, this activity is not activated until that consent is given. Available controls are described in Section 10 and in each marketing email.
Plan & Organize Studio does not use personal information to make a decision based exclusively on automated processing that produces legal or similarly significant effects for you.
6. AI-assisted work
Plan & Organize Studio may use AI-assisted tools to help draft, organize, review, maintain or improve business content and communications. Depending on the task and the permissions enabled, information provided to or accessible by those tools may include business content, customer communications, contact details, order information or other information reasonably needed for the task. Access is limited to what is reasonably necessary, and customer-facing communications are reviewed by a person before they are sent or published. No AI tool is used to make an automated decision about you.
7. When information is disclosed
We do not sell personal information. We may disclose information to service providers and other parties where reasonably necessary for the purposes described in this policy, including:
- Shopify, for website hosting, checkout, orders and store administration;
- Shopify Payments, for payment processing and fraud prevention;
- Shop Pay, Apple Pay and Google Pay, if you choose to pay with them, which handle that payment under Shopify's, Apple's and Google's own privacy terms;
- Judge.me, for requesting, collecting and displaying product reviews;
- Omnisend, for subscriptions, email delivery, consent records, engagement measurement and audience segments;
- Google Workspace, for business email;
- Google Analytics 4 (through Shopify's Google & YouTube app) and Shopify analytics, for site measurement when enabled with the required consent;
- Shopify's built-in cookie banner, for recording and applying cookie choices;
- business record-keeping and file-storage tools, and AI-assisted tools as described in Section 6, which may hold support messages, order records and review records;
- professional advisers, such as accountants or lawyers, where necessary; and
- public authorities or other parties where disclosure is required by law or reasonably necessary to protect legal rights, safety or the integrity of the business.
Some providers act as service providers or processors on our instructions. Others act independently for parts of their service under their own legal obligations and privacy terms.
8. Processing outside Quebec
Some service providers may process personal information outside Quebec or Canada, including in the United States. Information processed elsewhere may be subject to the laws of that location.
Before entrusting personal information to a provider outside Quebec, Plan & Organize Studio assesses the privacy risks and protections involved and puts an appropriate written agreement in place where required.
9. How long information is kept
We keep personal information only as long as reasonably necessary for the purpose it was collected for and for applicable legal obligations.
- Order, transaction and accounting records: generally six years after the end of the tax year they relate to, or longer if lawfully required.
- Marketing-consent and suppression records: while you are subscribed, and afterward for as long as reasonably necessary to document consent and honor your unsubscribe request.
- Customer-support messages and attachments: two years after the last message in the conversation. After that we may keep the question itself, with everything that identifies you removed.
- Reviews: for as long as the product they describe is offered, unless you ask us to remove one.
- Cookie and similar browser data: until it expires or you clear it from your browser. You can withdraw cookie consent at any time through the cookie-settings link in the website footer. Analytics data in Google Analytics 4 is kept for the retention period set in that tool, then deleted.
- Confidentiality-incident records: for the period required by Quebec law.
When information is no longer required, it is securely destroyed or anonymized where permitted by law.
10. Cookies and similar technologies
We may use:
- essential cookies needed for security, cart, checkout and core site functions;
- preference cookies that remember your choices;
- analytics cookies that help us understand site use; and
- marketing or attribution cookies, if used.
With your consent to preference cookies, the website uses your browser's local storage to remember the products you recently viewed, so it can show them again on collection pages. This stays in your browser, and you can clear it at any time in your browser settings.
Where you see the banner. If you visit from the UK, the European Economic Area, Switzerland, Canada, California or most other countries, Shopify's built-in cookie banner asks for your choice, and non-essential cookies are not placed until you make one.
Where you do not see the banner. If you visit from Australia or from the United States outside California, the banner is not shown and analytics cookies run by default so we can count visits. You can turn them off at any time through the cookie-settings link in the website footer or through your browser settings. We use these tools only to measure how the site is used. We do not sell your information or use it to show you advertising.
Do Not Track. This website does not track visitors across third-party websites over time, so browser Do Not Track signals do not change how it operates.
Embedded third-party content may collect information under the third party's own privacy and cookie terms. Non-essential embedded content does not load before the required consent is given.
11. Marketing email
We send marketing email when we have the consent or other permission required by applicable law. Marketing emails identify Plan & Organize Studio and include an unsubscribe method. Unsubscribe requests are applied without charge, and a limited suppression record may be kept so that the request continues to be honored.
Where email-open or link-click measurement is enabled, it is disclosed here and controlled as required by applicable law and the email platform's available settings.
12. Your choices and rights
Depending on where you live and which law applies, you may have the right to:
- ask whether we hold personal information about you and obtain access to it;
- request correction of inaccurate or incomplete information;
- withdraw consent for optional uses or disclosures;
- request deletion, de-indexation, restriction, objection or portability where the applicable law provides that right;
- obtain information about the use of technology that identifies, locates or profiles you;
- complain about how personal information is handled; and
- contact the relevant privacy regulator.
To make a request, contact the Privacy Officer using the information in Section 1. We may need to verify your identity. Rights are subject to the limits and exceptions in applicable law.
California. Plan & Organize Studio is below the thresholds at which the California Consumer Privacy Act applies. California residents can still use every choice described in this policy, including the cookie controls, and the Do Not Track statement in Section 10 applies to them.
13. Children
The website and products are intended for adults. We do not knowingly collect personal information from children under 14, or from anyone under the age at which the law that applies to them requires a parent's or guardian's consent. If you believe a child has provided personal information, contact the Privacy Officer so it can be assessed and deleted where required.
14. Security and confidentiality incidents
We use administrative, technical and organizational safeguards that are reasonable for the sensitivity, purpose, amount, distribution and format of the information, including limited account access and multi-factor authentication on the accounts that hold it. No method of transmission or storage can be guaranteed to be completely secure.
Plan & Organize Studio keeps a process and a register for confidentiality incidents. Where an incident creates a risk of serious injury, we notify the Commission d'accès à l'information du Québec and the people affected, as the law requires.
15. Privacy governance and complaints
Plan & Organize Studio maintains privacy-governance practices proportionate to the size of the business. In summary:
- Responsibility. The Privacy Officer named in Section 1 approves these practices and reviews them when the business or its tools change.
- Access. Personal information is held in the accounts and tools listed in Section 7. Only the Privacy Officer and, under contract, the service providers named there have access.
- Keeping and destruction. Information is kept for the periods in Section 9 and then securely deleted or anonymized.
- Assessments. New tools or systems that hold personal information, and providers outside Quebec, are assessed for privacy risk before use.
- Incidents. Confidentiality incidents are assessed, recorded and, where required, notified, as described in Section 14.
- Requests and complaints. Requests to access, correct or delete information, and privacy complaints, go to the Privacy Officer. A complaint is investigated and answered within 30 days. If you are not satisfied, you may contact the Commission d'accès à l'information du Québec or another regulator with jurisdiction.
16. If you buy from our Etsy shop
Purchases, messages and reviews on our Etsy shop are handled by Etsy under its own terms and privacy policy. We receive your name, your order details and anything you write to us there, and use them only to deliver and support your purchase and to keep required records. We never add Etsy buyers to our mailing list without their consent. Reviews posted on our Etsy shop may be shown on this website, quoted as written, with the reviewer's first name only and labeled as originally posted on the Etsy shop.
17. Changes to this policy
We may update this policy to reflect changes in the business, our services or our legal obligations. The current version and its effective date are always available on this page. Where the law requires it, we bring material changes to the attention of the people affected.
