What's inside

7-tab spreadsheet

  • Set Up & Info: Set the template to your home currency, name your trip, and add up to 10 destination countries and up to 30 city stops with their dates. Each country's flag, currency and language fill in automatically.
  • Travel Overview: A quick-glance dashboard for your whole trip. Enter your trip dates and it counts down to departure, then pulls in your destinations, a budget summary by category, and your checklist and packing progress. Add your own travel photo to personalize it.
  • Budget Overview: Set a budget for up to 10 categories and see, for each one, what you've paid, what's still to pay and how much of the budget is left, with any category over budget highlighted. Charts show your spending by payment method (up to 5), category and country, and the tab also has a live currency converter and a filter for your expenses.
  • Expenses Log: Log each expense on its own row in your home currency, with an optional column for the amount in the local currency. Tick an expense as paid and it counts toward your paid total; unticked ones count as still to pay, so bookings you'll pay later stay in your budget.
  • Bonus Packing List: Packing lists for up to 6 travelers, each with up to 64 items across clothing, hand luggage, toiletries, technology and other, with a progress bar and status for each person.
  • Bonus Checklists: Lists for when you book, one week before, one day before and departure day, plus general to-dos. The dates fill in from your trip start date, and each list shows its progress.
  • Bonus Calendar View: A monthly calendar of your trip. Enter your transportation and accommodation in the bookings table below the calendar, and tick the box to add them to the calendar; your city stops from Set Up & Info fill a destinations table. Add any other plans to the calendar through the "Include in calendar" table on the same tab, with a day and time. Print-friendly for sharing with family and friends.

How it works
  1. Open the PDF and follow the link to your template, signed in to a Google account.
  2. Make a copy to your own Google Drive, then start with the instructions on the first tab.
  3. Enter your destinations and dates on Set Up & Info and your budget on Budget Overview. As you log expenses on the Expenses Log, the dashboard, charts and budget totals update on their own.

Specs & limits
  • Expenses Log: up to 1,000 transactions.
  • Bonus Calendar View: each day on the calendar shows up to 5 entries. The bookings table holds up to 80 bookings and the "Include in calendar" table up to 36 plans.

Compatibility & access
  • Works in Google Sheets only. Not compatible with Excel.
  • You need a Google account. A regular free Google account is enough.
  • Basic knowledge of Google Sheets is needed.
  • You can open the template in the Google Sheets app or in a browser. For setup and full editing, use a desktop browser.

FAQ

Where do I start?

On Set Up & Info, with your home country, trip name and destinations. Then set your trip dates on Travel Overview and your budget categories on Budget Overview, and log expenses on the Expenses Log as they come.

Can I log expenses in the local currency?

Yes. Each expense on the Expenses Log has a column for the amount in the local currency, as it shows on your receipt or card statement. Totals and charts are calculated from the home-currency amount on the same row, so fill that in too. For cash you paid abroad, the currency converter on Budget Overview gives you the home-currency amount at the live rate.

Can I track research and reservations, like transport and stays?

Your bookings, yes: add your transportation and accommodation in the bookings table on Bonus Calendar View. There are no tables for researching options. If you'd like your research, reservations and a daily itinerary in the same file as your budget, the Ultimate Travel Planner has them alongside the same budget and expense tabs.

What is the difference between Travel Planner, Travel Budget Planner, and Ultimate Travel Planner?

All three can support a trip in one country or across several destinations. The difference is the planning work each one covers.

No. It works for one destination country or up to 10.

Can my travel companions use it too?

Yes. Share your copy from Google Sheets with the people you're planning the trip with, and everyone works in the same file.

Can I buy it as a gift?

Yes. The license passes to the person you give it to, and you can set it up for them before handing it over.
