What's inside

9-tab spreadsheet

  • Set Up & Info: Set the template to your home currency, name your trip, and add up to 10 destination countries and up to 30 city stops with their dates. Each country's flag, currency and language fill in automatically, and a live currency converter works both ways between your home currency and a destination's.
  • Travel Overview: A quick-glance dashboard for your whole trip. Enter your trip dates and it counts down to departure, then pulls in your destinations, checklist and packing progress, and your next 6 upcoming reservations. Add your own travel photo to personalize it.
  • Research & Reservations: Tables to research and track your destinations, transportation, accommodation, car rentals, sightseeing and activities, restaurants and cafes, and travel insurance. An extra table covers anything else. List your options with details like costs, dates and links, then tick your final choice or what you've booked, and booked items are highlighted as their dates come up.
  • Packing List: Packing lists for up to 6 travelers, each with up to 64 items across clothing, hand luggage, toiletries, technology and other, with a progress bar and status for each person.
  • Checklists: Lists for when you book, one week before, one day before and departure day, plus general to-dos. The dates fill in from your trip start date, and each list shows its progress.
  • Calendar View: A monthly calendar of your trip. Transportation and accommodation you tick as booked on Research & Reservations appear on their days and in a bookings table below, and your city stops from Set Up & Info fill a destinations table. Add any other plans to the calendar through the "Also include in calendar" table on the same tab, with a day and time. Print-friendly for sharing with family and friends.
  • Daily Itinerary (x3): Plan each day by morning, afternoon and evening, with space for notes. Choose from image-based, minimal or colorful styles, keep the one you like and delete the rest. The dates follow your trip start date, and you write in each day's plans, for up to 30 days.

  • Filled example: a copy of the template filled in with a sample trip, to see how it looks in use before you start your own.
  • Canva image template: pre-sized to the spreadsheet's image slots, to crop the photos you add to Travel Overview and the image-based itinerary. Instructions included.

How it works
  1. Open the PDF and follow the link to your template, signed in to a Google account.
  2. Make a copy to your own Google Drive, then start with the instructions on the first tab.
  3. Enter your destinations and dates on Set Up & Info. As you add bookings on Research & Reservations, the dashboard, calendar and bookings table update on their own.

Specs & limits
  • Research & Reservations: 40 rows each for destinations, transportation, accommodation, sightseeing and activities, and restaurants and cafes, 15 for car rentals, 10 for travel insurance, and 20 in the extra table.
  • Calendar View: each day on the calendar shows up to 5 entries. The "Also include in calendar" table holds up to 36 plans.

Compatibility & access
  • Works in Google Sheets only. Not compatible with Excel.
  • You need a Google account. A regular free Google account is enough.
  • Basic knowledge of Google Sheets is needed.
  • You can open the template in the Google Sheets app or in a browser. For setup and full editing, use a desktop browser.
  • The template is in English. You can type your own content in any language.

Where do I start?

On Set Up & Info, with your home country, trip name and destinations. Then set your trip dates on Travel Overview and add your research and bookings on Research & Reservations.

Does it track my trip budget?

No, it has no budget or expense-tracking tab. Research & Reservations has a cost column in each booking table, and works out the total for transportation, the nights and cost per night for accommodation, and the cost per day for car rentals and travel insurance. If you'd like a budget and an expense log in the same file as your planning, the Ultimate Travel Planner has them alongside the same planning tabs.

What is the difference between Travel Planner, Travel Budget Planner, and Ultimate Travel Planner?

All three can support a trip in one country or across several destinations. The difference is the planning work each one covers.

Is it only for trips to several countries?

No. It works for one destination country or up to 10.

Can I plan a trip longer than a month?

Yes, with one limit: the day-by-day itinerary covers up to 30 days. The other tabs aren't tied to trip length, but each table has a set number of rows, listed under Specs & limits.

Can my travel companions use it too?

Yes. Share your copy from Google Sheets with the people you're planning the trip with, and everyone works in the same file.

Can I buy it as a gift?

Yes. The license passes to the person you give it to, and you can set it up for them before handing it over.
